Billing and payments

Creating a bill

  1. From a visit record, click "Create Bill"
  2. Add line items: treatment code, description, tooth number, quantity, unit price
  3. Total is calculated automatically
  4. Print or show to the patient

Recording payment

  1. After the patient pays, click "Record Payment"
  2. Select payment method: Cash, Card, Bank Transfer, WeChat, Alipay, Other
  3. Enter the amount received
  4. If partial payment, the remaining balance is tracked automatically

Tracking unpaid balances

Go to Billing → Outstanding. This shows:

  • Patient name
  • Bill date
  • Original amount
  • Amount paid
  • Outstanding balance
  • Days overdue

Exporting billing data

Go to Billing → Export. Choose:

  • Date range
  • Format: CSV (for accounting) or PDF (for records)
  • Include: all bills, paid only, or unpaid only

Common questions

Can I edit a bill after it's been paid? Confirmed bills can be amended (with audit trail), not silently edited. This prevents accidental changes to financial records.

How do I handle refunds? Create a new bill with negative amounts to document the refund. The original bill stays as-is for audit purposes.
